Basic policy regarding protection of personal information and personal number (My Number) and others

We recognize the importance of protection of: personal information, the Individual Number (My Number) and other related personal information (specific personal information, the Individual Number (My Number) and other related personal information are hereinafter collectively called “personal number and others”), and establish our policy below in comply with “Group Management Philosophy” of our parent company Shell Lubricants Japan K.K. and our “Code of Conduct” to take responsibility to various parties concerned and develop sustainable business.

1. Collection and Utilization　

Personal information (personal number (My Number) and others excluded)

We shall use personal information only when we explain a purpose of use to the said person and receive a consent of the usage. Also, we shall not provide or disclose personal information owned by our company to a third party without a consent from the said person, unless it is necessary by laws and regulations.

Personal number (My Number) and others

We shall properly collect and use personal number and others within the range of legal documentation work. Unless it is necessary by laws and regulations, we shall not provide or disclose any personal number and others to a third party.

2. Security of accuracy and safety　

We shall endeavor to keep accurate and the latest personal information and personal number and others owned by our company and ensure security and establish a management system to prevent illegal access or accident of leakage of personal information and personal number and others. Furthermore, when outsourcing a handling of personal information and personal number and others, we take necessary measures that a consignee keeps the same level of security management. If leakage and other accident occur, we shall take prompt corrective action per incident.

3. Management system and responsible person　

We shall designate a director in charge to promote the protection of personal information, personal number and others as a company-level effort. For personal information, we designate personnel to promote security of personal information. For personal number and others, we allow only limited divisions to handle them, and enforce the security thoroughly.

4. Observation of the laws and regulations, and establishment of rules　

We shall not only observe the laws and regulations for handling personal information, personal number and others and principles by the government, but also establish inner rules and regulations for proper management and operation.

5. Education and training to employees　

We shall continuously educate and train employees and audit regarding a handling of personal information and personal number and others.

6. Regular Review
